Once you’ve decided Syndeo is the right fit as your PEO partner, we’ll hold a welcome meeting where you can get to know the rest of our team. Building on what we learned during the sales process, we’ll dive deeper into your business so we can shape our services around your exact needs. You’ll meet the experts who will be with you throughout your onboarding, each bringing specialized knowledge to make your transition smooth:

  • Benefits experts to walk you through health, dental, retirement, and other employee benefit plans.
  • Payroll specialists to handle payroll registers, garnishments, and ensure accurate processing.
  • HR professionals to review and craft employee handbook policies, job descriptions, and review employee census data.
  • Risk management consultants to assess coverage and safety protocols.

Our goal is to make sure you feel comfortable and all of your questions are answered as the onboarding process kicks off. Our Client Success Engineer manages the entire process to make sure you have an exceptional onboarding experience.

Together, we’ll map out an onboarding timeline with clear, shared goals, and milestones. We’ll also create your secure MyPortal account, which will serve as both your central resource and a step-by-step guide for submitting information. In the portal, each document is its own task with a checkbox to mark when finished. Everything is neatly organized so you can find what you need quickly.

Implementation Meeting

After the welcome call, our team will review each section as you upload the documents. Then we will schedule an implementation meeting to gain further clarity. This in-person meeting is usually scheduled at our Syndeo office, but can be held virtually for clients outside the region. Each department team member will ask clarifying questions about the uploaded documents, company processes, and employee needs. By holding this meeting in person, we’ve found that communication is clearer, fewer details are missed, and questions are answered more completely.

HR Onboarding Meeting

Following the implementation meeting, we host a session focused on all things HR. We walk through your employee handbook in detail, making sure every policy is up-to-date and compliant with current labor laws. Ideally, we will meet at your business location for this meeting so we can tour your facilities, verify that required labor law posters are properly displayed, and address site-specific questions on the spot.

Employee Orientation

Once your company is set up, we extend that same level of care to your employees. As part of onboarding, we can come on site to host an all-staff introduction so employees can meet our team in person, or we can simply assist with general communications to help your staff understand who we are and how we’ll support them. Our team will also help them understand the tools and resources available so they feel confident using the systems from day one. We want everyone to understand how we’re here to assist—answering questions, providing guidance, and ensuring a smooth HR experience for your organization.

The HR team will briefly review the employee portal features available to your employees—such as paystubs, W-2s, benefits, and retirement plans—and how to navigate it. Employees will receive a packet with a short overview of Syndeo’s support, important payroll dates, and how to access the secure platform and mobile app.

Mock Payroll

Once your employees are successfully uploaded to the secure employee portal, we like to conduct two rounds of parallel mock payroll runs alongside your existing payroll. Mock payrolls coincide with the employee orientation, usually about a month out from the first pay date. This process enables us to verify that the results are consistent, identify any discrepancies, and address any issues before transitioning fully to the new system. Our goal is to ensure a smooth, accurate, and seamless payroll experience from day one.
