Every Syndeo client is assigned a contact for each department, and these contacts work together as a team to manage the human resource functions. The needs of each client dictate how the Client Service Team functions. Each team at Syndeo collaborates based on the specific needs of the situation. For instance, Payroll and Accounting may work closely together in one scenario, while HR teams up with Risk Management in another. Though each department has its own area of expertise, what each department does separately helps our clients as a whole. Each department leans on the others to provide services our clients rave about. After all, together we are stronger.
Risk Management and HR
When a Syndeo client seeks to enhance safety mindsets within their company culture, your Risk Management contact will create a tailored training plan. This streamlined process makes one less thing for you to worry about while ensuring the effective implementation of the custom safety training.
Communication of workplace injuries that result in workers’ compensation is another place where having a comprehensive service team benefits our clients in addition to the immediate help of your Risk Management Specialist in a workplace accident.
HR and Payroll
Here’s another example: Say you need to update a policy in your handbook that affects your employees' payroll or paid time off (PTO). You can contact your HR Business Partner (HRBP) to ensure your handbook is updated with the specific change. Additionally, your HRBP will contact your Payroll Specialist to ensure the changes are made in the payroll processes for the next pay period.
A similar process exists for employee terminations. When you let your HRBP know that you need to terminate an employee, your HRBP will work directly with your payroll specialist to provide final pay, any paid PTO, and benefits reconciliation as dictated by state laws. Most importantly, our team ensures that all processes are legally followed and in compliance to minimize the risk to your business.
Payroll and HR
In our work with clients, we sometimes encounter situations when an employee logs zero hours for a pay period. Naturally, this raises questions, as it could be due to an error or a valid reason for the lack of work time. In either case, members of your Client Service Team work together with you to investigate the situation. It could be that an employee left the company, but the Payroll team at Syndeo was not notified. Or perhaps the employee underwent a medical procedure and is on a medical leave of absence that wasn't communicated to the Syndeo team, and they may need Family Medical Leave (FMLA) if they are eligible.
If we identify an input error — for example, an employee incorrectly entered their time card or applied PTO — we will correct the issue immediately to ensure accuracy, and your Payroll Specialist will work with the Accounting partner to correct general ledger and tax records, if needed.
Accounting and Payroll
Your Accounting team member does copious amounts of research for employee expansion into new states (for remote workers, for example) both applying for payroll tax-related accounts, which can vary depending on each state, and by assisting to research what payroll items may be taxable in a state, such as per diem. This information is shared with your Payroll Specialist and HRBP as your new remote employee is onboarded and set up for payroll.
HR and Benefits
Your HRBP and Benefits Administrator work together to coordinate and schedule benefits meetings for your employees that are well-organized. This includes annual open enrollment meetings if necessary where employees can review and update their benefit selections or coordinating one-on-one benefit meetings with new hires to walk them through the available benefits, answer any questions, and help them make informed decisions.
Additionally, if you have employees on leave for reasons other than workers’ comp, such as FMLA or personal medical leave, these two team members work closely together to ensure seamless coordination. They communicate regularly to track employee leave, monitor eligibility for continued benefits, and make any necessary adjustments to payroll, health insurance, or retirement contributions, ensuring that compliance is maintained for all the legal requirements associated with the leave.
Payroll and Benefits
When you decide to make changes to your benefits plan, your Payroll Specialist and Benefits Administrator collaborate to make sure the changes are made in the HRIS, along with any enrollment changes or any additional adjustments made to the benefits for each of your employees. Their coordinated communication ensures everything is updated accurately, giving you peace of mind without having to worry about the details.
Benefits and Accounting
Your Benefits Administrator will work together with your Accounting Partner to ensure the employees and clients are paying the correct insurance premiums for the coverage they selected through your employee benefits plan. By working together, they help prevent errors, avoid overpayments or underpayments, and ensure that your organization remains compliant with insurance requirements.
Accounting and Risk Management
Along with handling tax filings and payroll data integration with your accounting software or accountant, your Accounting partner collaborates with your Risk Management representative to gather and deliver relevant information, data, and paperwork for Work Comp audits. This efficient process minimizes the risk of errors and helps maintain accurate records, all while ensuring you meet audit and legal obligations, potentially avoiding costly penalties.
